Abstract
As schools continue adapting to digital transformation, managing student payments remains a significant administrative challenge. Parents and students increasingly demand faster, more convenient payment options, while institutions require secure, transparent, and accurate financial records. Traditional manual systems often result in delayed processing, billing errors, and difficulties in tracking outstanding balances. This study aimed to develop a Payment Management System enhanced with automated financial analytics and payment notifications to improve efficiency, accuracy, and user experience. The study utilized an Agile development methodology consisting of iterative planning, system design, development, and testing phases. Requirements were gathered through interviews and direct observation involving students and school administrative staff. The system was developed as a web-based platform integrating billing management, online payment processing, scholarship and discount handling, automated notifications, and audit trail monitoring. Basic financial analytics were embedded to track payment trends, detect discrepancies, and generate real-time reports for decision-making. Functional implementation indicated that the system automated billing calculations, payment recording, balance checking, payment confirmation, financial reporting, and audit-trail monitoring. Users reportedly found the system convenient, and administrators were able to access organized transaction records and real-time reports. The system may support more organized payment processing, record transparency, and financial monitoring in the participating school.
