Abstract
Scholarships provide financial assistance to students facing economic challenges. Types include merit-based, need-based, and athletic scholarships. However, many schools still rely on paper-based applications, causing delays, redundancy, and inefficient processing. A digital scholarship application portal enables students to submit applications and documents online, reducing processing time and administrative workload. The project used the Agile Scrum methodology, dividing development into manageable sprints consisting of planning, development, testing, and review. This iterative approach supports continuous improvement and effective progress tracking. The system targets schools that still use paper-based scholarship application processes. The portal automated application submission, document review, applicant guidance, and inquiry handling through a virtual assistant. It was described as reducing workload, supporting 24/7 access, decreasing paper use, and improving transparency and usability. No participant count, processing-time value, chatbot accuracy, task-completion rate, staff-workload measure, or user-satisfaction score was reported. A web-based scholarship portal and Dialogflow assistant may improve access and workflow organization. Claims of faster processing, reduced staff burden, or higher satisfaction require a clearly described evaluation with quantitative and qualitative results.
