Abstract
The rapid growth of the travel and tourism industry has increased administrative demands among local travel agencies in handling documents, reservations, legal records, visitor logs, and user access. As operations expand, agencies must process larger volumes while ensuring compliance and security. Manual and semi-digital processes often cause delays, scheduling conflicts, misplaced files, compliance risks, and reduced productivity. These challenges highlight the need for a more efficient technology-driven solution. This study developed Travel and Tours 1: Administrative with AI Document Tagging using Google Cloud Vision and NLP, a centralized system to streamline operations and improve workflow. The system uses Optical Character Recognition (OCR) and Natural Language Processing (NLP) to extract, classify, and tag documents for faster, accurate retrieval. It also provides reservation monitoring with conflict detection, legal tracking with alerts, visitor management, and role-based access control to strengthen security. A mixed-method research design combining qualitative and quantitative approaches was applied. Agile Scrum guided development through iterative sprint cycles, allowing continuous refinement based on stakeholder feedback. Data were gathered through interviews, workflow observation, and review of existing documents at Joli Travel & Tours. Functional, integration, and user testing evaluated system accuracy, reliability, and usability. Functional, integration, and user testing indicated that the system could extract, classify, tag, and retrieve documents; monitor reservations and legal records; manage visitors; and apply role-based access controls. Respondents reportedly rated the system favorably for usability, organization, and workflow performance. The findings suggest that the integrated system may support document organization, reservation monitoring, legal-record tracking, visitor management, and access control within the participating travel agency.
