Student Management System Services in Student Administration: An Evaluation of Usage, Satisfaction, and Potential for Improvement

Abstract
In a fast-paced digital environment, institutions rely on technologies and software applications to manage student data and streamline academic operations. This study evaluated the usage satisfaction and potential for improvements of the Student Management System (SMS) at Bestlink College of the Philippines. It aimed to determine how effectively the SMS supports students in managing academic functions and to provide insights for enhancing system efficiency, accuracy and user experience. The study employed a quantitative-descriptive-evaluative research design and purposive sampling technique. Data were collected through a survey questionnaire validated by the research adviser, statistician, grammarian and pre-tested on a small group of students. Data were analyzed using descriptive statistics, correlations, and thematic analysis. Results indicated that respondents were predominantly female, aged 21–22, and regularly enrolled across all year levels. Students strongly agreed that the Student Management System (SMS) is user-friendly, easy to navigate, and efficient for data entry, reporting, and information access. Evaluation based on the Technology Acceptance Model (TAM) showed positive perceptions of ease of use, usefulness, attitude toward use, behavioral intention, and actual system usage. Despite this, students reported challenges such as slow system response, data entry or retrieval errors, limited technical support, and minor mobile accessibility issues. Correlation analysis revealed a significant relationship between TAM variables and student satisfaction, with perceived usefulness and ease of use as key predictors. Recommended improvements include enhancing system performance, data accuracy, interface design, technical support, search functionality, and integrating advanced features such as real-time notifications and secure login. The study underscores the evaluation of the Student Management System services, through evaluation, it not only revealed the strengths and weaknesses of the system but also provided meaningful insights for administrators in enhancing efficiency, accuracy, and friendly user experiences. The results revealed that students find the Student Management System (SMS) easy to use, helpful, and generally satisfactory, but issues like slow performance, data errors, limited support, and mobile access need improvement to make the system more reliable and effective.
