Abstract

In the current fast-paced business environment, efficient office procedures play a vital role in ensuring productivity and accuracy. Many small and medium-sized enterprises experience challenges in documentation due to inconsistent processes, poor record-keeping, and limited use of technology. This study focused on evaluating office procedural optimization and its impact on documentation accuracy at Pag-asa Multiparts Auto Supply. It aims to determine how workflow clarity, filing systems, and office technology contribute to accurate record management and overall administrative efficiency. The study used a descriptive research design with a survey questionnaire as the primary data collection tool. A total of 20 employees participated, as they are directly involved in administrative and clerical tasks. The questionnaire measured workflow clarity, filing and record-keeping systems, use of office technology, and documentation accuracy in terms of inventory, financial records, and data encoding. The instrument underwent validation by experts to ensure reliability. Data were analyzed using frequency, percentage, weighted mean, standard deviation, and Pearson correlation. Findings revealed that employees generally have a clear understanding of their roles, contributing to effective workflow. Filing and record-keeping systems were moderately effective, while office technology use showed a need for improvement. Documentation accuracy was high in financial records and data encoding but low in inventory records. Statistical analysis showed a significant relationship between office procedural optimization and documentation accuracy, with a p-value of 0.005, indicating that improved procedures lead to better documentation outcomes. The results highlight that optimizing office procedures enhances documentation accuracy and efficiency. While strengths were observed in workflow clarity and financial documentation, weaknesses in inventory systems and technology support need attention. Improving automation and strengthening record systems can further enhance performance. Overall, the study confirms that effective office procedures are essential for reliable documentation and improved organizational operations.
